Billing cycle
The recurring period covered by a fuel card statement or invoice.
Why It Matters
The billing cycle determines when card charges are tallied and payment is due. It affects cash-flow planning and when the account balance resets.
How It Shows Up
- Billing cycle may appear in a pricing page, account agreement, statement line item or provider support article.
- It can be fixed, per-use, conditional or waived only when the account meets a stated rule.
- The cost matters most after it is converted into a monthly total and then into cents per gallon.
Example
A small fleet checking billing cycle should model the charge with its real monthly gallons and purchase count. A fee that looks minor on a sales page can matter when trucks fuel often in smaller amounts.
Common Mix-Up
Do not assume an unpublished billing cycle is zero. Treat missing fee language as a provider-confirmation item until the current schedule is in writing.
What to Check
- Confirm the cycle length, payment due date and late payment fee timing.
- Check whether the cycle aligns with freight payment or settlement schedules.
- Download transaction reports at cycle end to keep IFTA and cost records current.
Questions to Ask
- Where is billing cycle listed in the current fee schedule?
- What event triggers the charge, and can it be waived?
- How will the fee appear on statements and exports?
